The Professor's Guide to Getting It All Done
You're managing 3 jobs under one title: Teaching. Research. Admin.
Most advice on time management for professors assumes you have time. You don't. Not when finals are stacking up, grades are due, and summer is around the corner.
Grading has no off switch, so research gets whatever's time is left — usually Sunday night.
Office hours, emails, admin… same week, every week, until grades are submitted.
Spoiler: once grades are in, fall prep starts. And then your year begins again.
Close the Semester Strong
A professor planner does one thing no app can. It shows you everything you're still pending at once, in a format you can work from.
Here's the professor tip nobody teaches you in grad school: the semester doesn't really end. It transitions. Summer is barely a break — it's when research finally gets its time, syllabi get rebuilt, and the next academic year takes shape.
You need a calendar that starts where your real year starts: June.
This is what academic planning looks like when it works
Research blocks - Scheduled first
Block it before anything else fills the slot. These last weeks of the semester are when research disappears entirely.
Grading windows - for professor work life balance
Give it a defined block…Tuesdays 2-5pm, done. That's how faculty workload stops eating your week alive.
Office hours
Its own block, its own day. You wouldn't schedule two lectures back to back with no prep time. Same rule applies here.
What's left in the semester - Visible and color coded
Red for remaining deadlines. Blue for research. Green for teaching commitments. Yellow for admin. One glance tells you your pending tasks before summer starts.
One Calendar For The Whole Academic Year
The Big Class Calendar runs June 2026 through July 2027 - that's the full academic cycle, from the first research block of summer to the last lecture of the following spring. Everything your year contains, visible in one BIG place.
With a planning system that holds from June to June, these final weeks keep moving… and so does everything after them.
